Payment, Cancellation & Refund Terms

These terms are intended to ensure the financial viability of Easter Camp and camps at Christian Youth Camps Inc (CYC), now and in future, and to deal fairly with campers, their parents and church communities in the event of unforeseen cancellation, either by the camper or by Easter Camp itself.

PAYMENT

Both payment be received in full and registration approval must received before a camper or leader is officially able to attend Easter Camp. Camp prices are set out on the info page and during registration forms.

A receipt will be sent via email once an order has been placed for registration and/or merchandise.

When completing a Easter Camp Registration from, a user inherently agrees that they will be adding to the Easter Camp mailing list to ensure correct delivery of the registration confirmation via email, along with important communications about the event. They may unsubscribe from these communications at any time.

CANCELLATION BY CAMPER

If a registrant, whether camper or leader, cancels their registration ahead of camp, a $50 admin fee applies, irrespective of the cut-off period or the reason for cancellation.

No refunds will be given for any cancellation notified after the standard fee cutoff date and time, being 10pm Sunday 24 March 2023. Unless a relevant medical certificate supplied.

No refund will be given for cancellation or withdrawal during a camp unless a relevant medical certificate can be provided or unless the camper was discharged by our medical team (in which case the camper may then be refunded any monies paid less the $50 admin fee).

No refund will be given for removal from camp due to breach of the camp rules,or including but not limited to due to any incident involving unlawful, illegal, violent or discriminatory behaviour. A refund can only be sent to the original payment method and may take up to 10 business days after the approval.

CANCELLATION BY EASTER CAMP

If, at any time prior to Easter Camp, it is necessary to cancel or abandon camp for reasons outside of our control (for example, but not limited to; natural disaster, pandemic, disruption to essential supplies, or Government or local authority decree), the following terms will apply to fees paid or payable by individual campers:

a. Fees will be retained to pay costs already committed or paid, or which will inevitably be required to be paid for the supply of goods or services for which Easter Camp is liable;

b. Any funds in excess of the amounts necessary for Easter Camp to discharge its committed financial obligations will be returned to the person who made the payment either directly or on behalf of the individual camper;

c. Easter Camp has the discretion to make fair and reasonable estimates of its fixed and committed costs in calculating a refund, if any;

d. No refund is payable if cancellation or abandonment becomes necessary after camp has commenced, from 5pm on the Thursday before Good Friday, or at any time during camp;

e. Easter Camp will use its best endeavours to provide a refund in accordance with these terms as soon as practicable, but no time frame is specified;

f. These terms are also applicable to parents/caregivers, are outlined on the Easter Camp website and referenced in the individual registration forms.

MEDICAL

I give permission for Paracetamol to be administered for minor pain at the discretion of the Camp Medical team, as per the manufacturer’s specifications.

I understand that if the camper requires significant medical assistance that every effort will be made to contact the parents/caregivers. In the event that the parents/caregivers cannot be contacted, I give permission for Camp Medical Team to act in the camper's best interest and agree to meet any expenses incurred.

RISK DISCLOSURE

I give permission for the camper to participate in all Camp activities. I understand that CYC do not permit the use of alcohol, non-prescribed drugs, smoking/vaping, or possession of weapons at Camp, and that anyone found in breach of this can expect to be sent home immediately and will not receive a refund. I have communicated this to the camper.

I give permission for the camper to be taken off camp property for a short period for the purpose of a planned activity within walking distance of Camp.

I understand that CYC accepts no responsibility for accidents or situations arising from the improper use of camp equipment.

CANTEEN AND CAFE

I understand that If no contact to CYC is made within 14 days after camp finishing that any unused canteen/cafe funds will be donated to CYC on my behalf unless otherwise requested.

PHOTOGRAPHY AND VIDEO CONSENT

By attending Easter Camp ‘23, I give permission for any photos or videos taken during this camp to be used for promotional purposes by Christian Youth Camps Inc or Easter Camp.
